The Chuckanut Bay Rugby Club Executive Board hereby gives notice of our upcoming Annual General Meeting (AGM). As a community-centric, volunteer-driven club, this meeting is your opportunity to help shape the future of rugby in the Pacific Northwest, review our successes, and elect the leadership that will guide our next chapters.

📋 AGM Agenda Highlights

We will be reflecting on a fantastic year and looking ahead to our strategic pillars (communication, membership, and fundraising). Agenda items include:

  • Spring Season Achievements: Celebrating our youth, high school, and senior teams' successes.
  • Financial Review: Presentation and review of the next fiscal year's budget.
  • Capital Programs Update: Critical updates on our facility progress, including the parking lot project and the highly anticipated bathrooms and showers build.
  • Strategic Growth: Discussions on upcoming fundraising initiatives and new communication tools.
  • Open Business: Floor opened for member questions and club discussions.

🗳️ Executive Board Elections & Voting Rights

Per Article 8 of the CBRC Bylaws, elections for open Executive Board positions will take place during the AGM.

Who Can Vote and Run for Office?

To vote or run for a position, you must be a Member in Good Standing present at the meeting, falling into one of the following categories:

  1. Volunteer Members: Current coaches, managers, or referees volunteering for the Association.
  2. Active Athletes: Senior Member Team athletes who pay seasonal dues and regularly participate in practices and matches.
  3. Parents of Athletes: Parents of registered youth athletes (Grades K-12) who have paid dues. Note: Parents receive one vote for each registered youth athlete.
  4. Social Members: Social members who participate in social functions and pay annual dues.

The Nomination & Election Process

  • From the Floor: The election ballot will be created strictly via nominations made at the AGM. No pre-submitted email nominations will be accepted.
  • Candidate Declarations: Nominees must be present, declare their willingness to serve, and may give a brief speech.
  • Voting Method: Elections will be executed by voice acclamation and carried by a simple majority vote of present, eligible members.
  • Note: The Director of Coaching and Director of Fundraising position is appointed by the Executive Board and is not an elected seat.
